Navigation

Convention areas can get crowded and difficult to navigate. The following will be implemented to ensure everyone is able to comfortably move around our spaces, regardless of ability:

  • Clear Paths: Designated traffic areas will be marked and kept clear in order to ensure open and easy travel throughout the venue

  • Ramps: The entire convention space is located on the main level of the hotel. Should any other areas need ramps to be accessed, they will be provided accordingly

  • Accessibility Desk: QFX East will have a designated accessibility booth located in the registration area that will be open during all hours of the event. This is where you can pick up your ADA wristband or ask any questions should you have them during show hours

  • Signage: Appropriate signage will be placed throughout all areas of the event to ensure everyone is able to easily find their way around the event space

Effective Communication Requests

If you would like to request ASL Interpretation for any programmed event, please contact us at info@qfxevents.com.  Please note that requests must be submitted to QFX by April 28th, 2022.

 

Requests for braille/large font print files, social stories and/or other forms of effective communication, should also be directed to the email address listed above. All requests for large font print documents must also be submitted to QFX by April 28th, 2022.

Service Animals

Service animals are permitted throughout the entirety of the convention venue; however, this DOES NOT include companion animals.

 

Pets are not allowed and will be turned away. Only service animals that are properly trained and under the proper care of their owners will be allowed into the event and provided with the appropriate credentials​

  • All service animals must remain by their handler's side at all times and must be harnessed, leashed or tethered, unless these devices interfere with the service animal’s work OR the individual’s disability prevents using these devices. In that case, the individual must maintain control of the animal through voice, signal or other effective controls

  • All animals must have legally required vaccinations

  • Service animals must be housebroken and should use a permitted animal relief area outside of the venue

*Anyone bringing a service animal will be responsible and liable for any damage or injury caused by the animal.

Seating and Lines

The following applies to panels, photo-ops, autographs and the entirety of the convention space as well as any other spaces that are included in programming:  

  • Presenter Audio: All panels and workshops will have microphones available for the panelists and/or presenters to use during their discussion so that they may be heard clearly around the entire room

  • Captioning: We will encourage all presenters with video content to caption their material, but we are unable to guarantee that all content presented will be captioned

  • Seating: There will be space reserved in each panel room that will be designated for wheelchair users and for those needing close proximity to the stage for visual/lip-reading access. We ask that you please arrive to the panel 15 minutes prior to start time to ensure you have a seat. If this is not feasible for you because of scheduling, we will make every effort to seat you in an accessible spot

  • Lines: We will provide expedited line access for all autograph, photo ops and panel/workshop entry queues to those who have disabilities that may affect their access to these areas

In addition to the seating policy stated above, we will have break chairs throughout the convention space for people with mobility disabilities to take breaks from walking/standing/queuing as needed.

Additional Services and Information

Please refer to the following for additional services we will offer that are not outlined above: 

  • Panel Access: Early access to panels and workshops will be given to those that need more time to be seated. QFX East will reserve accessible seating areas as well as allow attendees with disabilities early entrance into panels and activities. Attendees who decide not to sit in the accessibility seating areas are welcome to ask a volunteer to help make their desired seating area accessible for them and their mobility devices

  • Vendor Hall Access: Attendees who need more space or time to get around the vendor hall due to a disability will be allowed in thirty minutes early on all days of the convention

  • Bathrooms: All restrooms in the convention space will be gender neutral and will be labeled as such. Anyone may use any bathroom, regardless of gender. Additionally, all designated event bathrooms will have at least one wheelchair-accessible stall located in them

  • Cold Storage: We will have cold storage space available for medications; however, please be aware that space will be limited. Please email accessibility@qfxevents.com no later than two weeks prior to the show for more information

  • Quiet Room: If you need a break from the noise and crowds, we will have a quiet room away from the convention space. Anyone is welcome to use this space for any reason but we do ask that you please be courteous to others when utilizing the room

  • Warning Cards: In our smaller panels and workshops, discussions may arise that could potentially be triggering for some individuals.  We will offer bright yellow warning cards that attendees can use to signal to panelists that they are uncomfortable remaining in the room. Should this happen, the discussion will temporarily stop and a volunteer will make sure you are able to leave, free of judgement

  • Hidden Disability Lanyards: We will offer a special lanyard for our attendees with hidden disabilities or disabilities they do not want to share details of. This will identify you to staff as someone who may need additional support or understanding and our volunteers will be trained to recognize the lanyards and act accordingly 

  • Digital Privacy: ‘No Snap’ stickers will be available at our registration desk to help respect attendee privacy. These stickers are for those who prefer not to have their picture taken during the weekend*. In addition to the sticker, we will offer bright ribbons to help signal to our photographers and your other fellow attendees that you do not want your picture taken — just make sure your lanyard is easily visible at all times

*Please note that in some instances, your picture may be captured if you are in the background. The ‘No Snap’ stickers are designed to ensure you are not captured as the main subject of a photo.

Be an Advocate

Everyone has the right and a responsibility to speak up for accessibility. It is all of our responsibility to collectively contribute to an accessible convention experience by adopting the above practices and by being respectful of the individual needs of our community. If you feel any aspect of our event is inaccessible, please make convention staff aware.

As an able bodied person, there are many ways you can help make our events more welcoming and enjoyable experiences for people with disabilities. The following are ways you can contribute:

**ADA wristbands are for the use of ONE INDIVIDUAL ONLY throughout the course of QFX East. ADA wristbands cannot be redistributed, resold or reallocated. Failure to comply with this will result in revocation of your badge without refund and the inability to attend future events produced by us.**

  • Clear Paths: The hall space between areas can easily become full of people. Please help maintain a clear traveling area and do not sit or stand in designated traffic paths

  • Elevators: Keep access to elevators and escalators clear

  • Service Animal Etiquette: Please refrain from interacting and distracting service animals while at QFX East as this prevents them from providing the assistance they are there for. This includes not petting, distracting, or taking photos of service animals without the prior consent of the service animal's human.

  • Accessibility Areas: Specific seating in panel, workshop, and performance areas will be designated for accessibility access. Please respect these areas and keep them available for those who need them

  • Privacy: Please be courteous and respect people’s privacy by not commenting on their ability or disability, their necessary accommodations, their gender identity or presentation, or any aspect of their personal identity which they may wish to keep private

  • Offer Help: If you wish to help someone with a disability, please ask and obtain their consent first, without assuming they need or want help. Do not be offended if they decline your offer. Should they accept, listen to the details of how they would like help before acting

ADA Credentials

QFX Events will provide ADA wristbands to any individual with visible or invisible disabilities. An ADA wristband will identify to staff, volunteers and security that you may need additional assistance. Please note that ADA wristbands do NOT provide you admission; you must have a valid badge to attend QFX East.

Once we have received your request, we will reach out to you to ensure we have all of the information needed before con weekend. Please refer to the bottom of this page for more information on our ADA wristband policy.
